Both November and December meetings were scheduled to be less formal and an open forum, recognizing the demands of a holiday season and as the new board transitioned. In this meeting, all board members attended.
During this meeting, the board discussed the many new systems implemented or planned, many of which came out of the October planning/transition session. These included use of the website for information, creating a FB group page, role-based contact emails. The drive is to promote more engagement content, a central repository easily found by new neighbors, and transitions between boards which make the “assets” of HFNA fully shared by the board as a whole.
Significant discussion focused on a new meeting model the board will implement over the year. This will include staggered meetings with rotating chairs. Using this approach, more neighbors will have the opportunity to participate in what is planned to be an active year of participatory input. The board is also taking a split-meeting approach: a planning meeting may be scheduled to deal with day to day operational questions and to plan for an agenda as the executive committee. This will allow neighborhood meetings to focus fully on concerns brought by attendees and to deliver cohesive discussion around board actions. This was approved with no objections.
Further discussion also focused on bylaw changes and the process for it. Each board member was given sample bylaws from groups which are more centered on a member-driven voting culture.
It was agreed that as an operational principle, the board would not necessarily vote on each grant opportunity, but rather take an open-door policy which tacitly allows and supports members who have an interest in securing funds and leading a project. This was approved with no objections.
As usual, there was discussion around development philosophy.
Financials are still pending a response from CPC. It was agreed that HFNA will pursue a 501c3 status, and therefore understanding the current financial basis for the organization is essential.
During this meeting, there was discussion of several directors co-locating in the new year. It was agreed that board business could be continued by digital means when necessary.
